Position Title:                          Coordinator, Foundation and Major Gifts

Organization/Division:             Resource Development

Reports To:                              Senior Director, Foundation and Gift Planning


Purpose of position: Provide coordinated support to advance growth in the United Way Foundation and Major Gifts through research, data management, donor and volunteer stewardship and staff support. This position also works with the Executive Vice President of Resource Development on key department activities as we raise financial and volunteer resources for our community’s Agenda for Change.

Key Responsibility Area:          United Way Foundation                                                35% 

  • Work with Senior Director of Foundation and Gift Planning, on Foundation donor and volunteer needs, including producing reports, communications and other engagement to secure and steward endowment gifts
  • Incorporate project management skills and approaches to achieve Foundation objectives
  • Coordinate production, compilation, maintenance and archiving of all materials related to Foundation Board meetings
  • Manage Board meeting logistics including Board and Investment Committee minutes
  • Serve as liaison to Marketing for printed and website materials production
  • Manage Loyal Contributor data, incorporating into overall campaign activities, supporting donor communications and events

Key Responsibility Area:          Major Gifts                                                                   35%

  • Work with Director of Major Gifts on donor research and data management
  • Maintain prospect data including donor segmentation matrix
  • Coordinate production of donor stewardship plans
  • Participate in cross-department activities in support of major gifts
  • Work with Development Operations to analyze donor data and based upon results, recommend action plans to leadership to develop donor cultivation and stewardship strategies while representing Foundation and Major Gifts work within the larger department

Key Responsibility Area:          Leadership Team                                                         20%

  • Provide administrative support for Executive Vice President  
  • Conduct research on current and prospective donors, update and maintain donor records as directed by Executive Vice President of Resource Development
  • Prepare for Resource Development Lead Staff meetings and projects
  • Provide support for Cabinet Leadership, Campaign Cabinet committee meetings, trainings, communications and recognition events 
  • Coordinate development of and adherence to protocols for donor and prospect data collection and database entry and management

Key Responsibility Area:          Department Support and Data Entry                             10%

  • Prepare for Resource Development Department meetings and activities
  • Work with other staff and Limited Term Employees to support data entry and management
  • Cross-train with administrative team in the department in order to provide back-up support as needed for campaign activities, material production and other departmental duties
  • Serve as Traffic Manager with Marketing staff in creation of Foundation and Major Gifts materials
  • Proficiency in Microsoft Office Suite software and related database (Andar)     
  • Serve as back-up support for the United Way Receptionist

  • Represent United Way in a professional manner to the community and to key volunteers
  • Be an integral part of the Resource Development Department team
  • Participate in organizational activities including key community events
  • Other duties as assigned

Job Relationship:

External:           Volunteers, Volunteer Committees, Donors, Businesses

Internal:             Volunteer Committees, Marketing, Information Services, Finance and Administration, and Community Impact departments

Job Specifications:

Education:  Associate’s or Bachelor’s degree preferred

Experience:  2-3 years in non-profit development role, research or analysis position and/or administrative profession.

Knowledge: Data, project, meeting, and volunteer management, word-processing, spreadsheets, strong oral and written communication. Basic working knowledge of Microsoft Office computer systems and ability to learn client data management platforms.

Skills:  Strong ability to research, plan and organize with attention to detail and ability to understand and utilize available technologies. Ability to work with large and diverse groups.  Must be team-focused, have solid project management skills, be able to work in a fast-paced environment while maintaining attention to details and meeting deadlines. Ability to work independently at least 50% of the time.
